Employees
are asked to limit personal telephone calls and emails. Public telephones are
available in the HUB for placing personal calls and they are to be used during
non-working time. Employees are
prohibited from placing personal toll calls on college telephones. See Ethical Standards & Conflicts of Interest in the
GHC Policies and Procedures, Section #103.
Telephone
Access Codes
– An individual access code number is required in order to use the State
Controlled Area Network (SCAN) long distance telephone system. Individual codes
can be obtained from the Chief of Information Services at 360-538-2500, with
proper approval. However, the new employee’s supervisor, if appropriate usually
makes requests for SCAN codes. These SCAN access codes result in the college
paying the cost of the long distance call, and obviously, personal long
distance calls may not be made using the SCAN code. Your SCAN access code will not work for
international calls. Contact the
Switchboard by dialing ‘0’ for assistance with placing an international call.
Telephone
Service/Repair
– All telephone service and repair calls are handled by the Chief of
Information Services at 360-538-2500.
There is a TTD/TTY phone, 360-538-4223, located in the Disabled Student Services Department, Room 119.
Personal
Mail and Copying
– The College name, address or stationery cannot be used for personal use. The
College Bookstore sells stamps, stationary, envelopes, etc, for personal
mail. The library has a pay-per-copy
machine for personal copying. If
applicable, new employees will receive copier access numbers for logging onto
the College’s copying machines to make copies for department and College
business. Discuss use and location of
copy machines with your supervisor. Copy machine malfunctions should be
reported to the Purchasing Office.
US
Postal Mail
– The Admissions and Records Office operates the College mailroom. Mail is delivered and picked up once in the
morning at 9:30 a.m. Deliveries are made to individual mailboxes located in the mailroom
in Building 2000. The outgoing mail should be in the mailroom by
Federal
Express
– Federal Express is available. Contact the switchboard operator at
360-538-4100 for information between
United
Parcel Services (UPS) – UPS is handled through Shipping and Receiving. UPS does not
deliver to personal offices. Items including
preview, testing materials and purchase orders are to be delivered to Shipping
and Receiving by
The
college does not ship or receive personal packages. Any questions regarding UPS
should be directed to Shipping and Receiving at 360-538-4113.
The
College has the ability to communicate quickly with other community and technical college
districts and state agencies and individuals
via fax machine. After the first page of copy, the fax machine is more
expensive than regular mail, but it disseminates information much faster. Please use the fax machine only when time
does not permit the use of regular mail. Ask your supervisor about use of the
fax machine and its location.
Your
SCAN telephone access number is needed for dispatching long-distance faxes. The
fax machine located in the library may be used to send personal faxes on a
pay-per-page basis and the Library staff will assist you. If you need to send an international fax, contact
the Assistant to the President.
Keys
to buildings and office areas can be obtained through your supervisor. The keys must be
returned when leaving employment with
the college.
Employees
will be given personalized GHC business cards, as ordered through the College’s
Public Relations Office. Contact the Public Relations Office at 360-538-4005 to
request or reorder cards.
