Office Procedures
Documents and Forms
Human Resources and Payroll New employees will receive several documents from Grays Harbor College, including W-4, census, retirement eligibility and I-9 forms (must be witnessed and verified by employing official or Human Resource staff). They must be completed and returned to the Human Resource Office. If these forms are not promptly returned, your pay will be delayed. Pay dates are the 10th and the 25th of each month for permanent employees and part-time faculty, and the 10th of each month for students & temporary employees. There is a two-week waiting period for new employees. Paychecks may be picked up in the Business Office and automatic bank deposit is available for most employees. Contact the Human Resource Office at 360-538-4046 to make these arrangements. We regret that pay advances or emergency loans are not available. From your regular check, a required medical aid supplemental pension deduction to Washington State Department of Labor and Industries is made, in case of work-related accidents leading to long-term disability. Also, OASI and federal income tax withholding deductions occur at specific levels. Contact the Payroll Department in the Human Resource Office at 360-538-4041 regarding these deductions if you have any questions. Benefits for employees who qualify may include medical, dental, vision, life, long-term disability, retirement, sick leave, vacation and personal holidays. Please contact the Payroll & Benefits Coordinator at 360-538-4041 for questions and information regarding your benefit options and eligibility. You may request a $20.00 monthly deduction from your paycheck for the “Tub Fund.” This is the GHC employees’ beverage fund. For this modest amount, you are welcome to the coffee and tea provided in the Staff Lounge in the HUB. ACE is the GHC All College Employee organization. The voluntary annual contribution of $35.00 should be made payable to ACE and delivered to Beate Wahl in the Bookstore at 360-538-4106, or Nancy Davis in Workforce Education at 360-538-4012. ACE sponsors the September Salmon BBQ, Holiday Party in December, the June Retirement/ End-of-the-Year Celebration, plus other events, contributions and gifts of cheer. All GHC employees are welcome at ACE events. In keeping with our commitment to lifelong learning, all full-time employees are encouraged to attend classes at Grays Harbor College. Tuition of $5.00 plus fees per class up to a maximum of five credits is charged except for Washington On Line (WAOL) courses. Full tuition is required for WAOL courses. Full-time employees may officially enroll, on a space-available basis, two weeks after the quarter has started. Please check with your supervisor prior to enrollment, if there is a conflict with scheduled work hours. Absences – All employees should contact their supervisor as early as possible if they are going to be absent. Faculty absences will be posted for students at the Admissions Office and on the classroom door. If possible, classified staff and exempt employees should also contact their supervisor. Employee Earnings History / Leave Balances – GHC Employees may view online the earnings and deductions associated with their most recent payroll check or any payroll check issued within the last two years. In addition, year-to-date earnings, year-to-date deductions and leave balances may be viewed. To view your history, you will be required to enter your Employee SID or Employee ID (SSN) and your Employee PIN. Other Items of Interest The Choker Club is a community-based organization supporting the College’s athletic teams and activities. In recent years, the Choker Club has sponsored the Choker Hall of Fame, honoring successful Choker athletes from years gone by. Employees are welcome to join the Choker Club. The booster group also sponsors an annual golf tournament, crab feed and other projects with proceeds going towards scholarships for Choker athletics. Located on the lower campus, GHC’s majestic Bishop Center for Performing Arts offers a full calendar of cultural events for the community at large. In keeping with the benefactors who donated funds to build the 440-seat theater, top-quality entertainment is presented throughout the year appealing to audiences of all ages and interests with ticket prices kept at affordable levels. Season calendars are circulated every September; watch for announcements and flyers about upcoming events at the Bishop Center. Programming is partially under-written by the Bishop Foundation and by other grants. When possible, take some time to stroll around the beautiful GHC main campus. Within the 120-acre site is a picturesque azalea garden, scenic trails around Lake Swano, markers explaining our model watershed project, the fish hatchery and other beautiful vistas. Look carefully – you may see our family of deer, a mother duck and her young, quacking charges and perhaps our resident chipmunks! The Grays Harbor College Foundation is a community based 501(c)(3) organization, which raises funds in support of GHC students and programs. The Foundation is one of the oldest community college foundations in the state and generously funds at least ten full tuition scholarships annually, the World Class Scholars educational incentive program and many other college activities. The Foundation manages the Faculty Excellence Award funds and also provides funding for the staff and administrative excellence awards. Tax-deductible gifts may be given to the Foundation to assist with scholarships for students or to provide strong support of the academic environment of the college.
