Program Assistant

Summary Job Description

This student worker supports the Community and Continuing Education program by preparing classrooms, assisting instructors with course logistics, and supporting daily program operations. Responsibilities include preparing and resetting learning spaces including the Culinary Arts Lab and kitchen, assisting with administrative tasks and paperwork, distributing marketing materials, and helping ensure that students and instructors have a positive experience with the CE program.

Typical Duties

Classroom and Instructional Support

  • Ensure classrooms are welcoming, organized, and ready for instruction
  • Assist instructors with routine classroom and technology needs before their first class
  • Support Culinary Arts instructors with class set-up, materials, kitchen organization, end-of-class clean-up
  • Clean and sanitize culinary workspaces, equipment, and tools according to Culinary Arts Lab procedures
  • Restock classroom and culinary supplies as needed
  • Maintain confidentiality/FERPA

Program Operations and Administrative Support

  • Organize, print, and distribute course materials and handouts
  • Send contracts and instructor documents in SignNow, then download, organize, and route completed documents according to established procedures
  • Create requisitions in ctcLink under staff direction
  • Communicate regularly with supervisor, students, instructors, and other GHC staff using GHC email, Microsoft Teams, Canvas, CampusCE, and other college systems
  • Maintain calendars and spreadsheets for course planning and implementation
  • Support general program operations and special projects as assigned

Marketing and Outreach

  • Assist with outreach and informational events as time and schedule permits
  • Distribute marketing materials for classes and programs
  • May create flyers and other marketing materials in Canva
  • May create social media content
  • May proofread material and identify areas needing corrections

Employee Qualifications

Minimum Qualifications

  • Interest in education, community programs, hospitality, culinary arts, or office administration
  • Basic computer skills, including familiarity with email, internet browsing, and word processing
  • Able to work periodic evening and weekend shifts to align with CE course delivery
  • Strong organizational skills and attention to detail
  • Able to learn new software systems and procedures
  • Able to maintain confidentiality and follow FERPA requirements
  • Reliable, punctual, and able to work independently after training
  • Able to lift, move, and organize classroom materials and supplies

Preferred Qualifications

  • Current or former Culinary Arts student
  • Experience working in customer service, food service, hospitality, education, or office environments
  • Familiarity with Microsoft Office software, including Outlook, Word, and Excel
  • Familiarity with Canva or other graphic design software
  • Familiarity with Facebook
  • Experience with data entry, filing, or document organization
  • Reliable transportation for occasional errands and flyer distribution

Eligibility Criteria

  • Enrolled in 6 Credits or More
  • Must be Meeting Standard Academic Progress (SAP)
  • Federal/State Financial Aid processed and awarded in ctcLink
  • Have room in unmet Federal/Cost of Attendance Need money – $2500 Maximum per quarter
