TRIO Office Assistant

Summary Job Description

In support of office operations, perform clerical duties such as establishing and maintaining record keeping/filing systems and/or data base files, serving as assistant to program staff.

The mission of the TRIO grants is to improve the graduation and transfer rates for first-generation, low-income students and students with disabilities.  This position is responsible for providing office assistance to TRIO Student Support Services at Grays Harbor College.

Typical Duties

  • Answer telephones; following clearly established guidelines, answer routine questions; receive and refer visitors;
  • Follow established guidelines, and respond to inquiries regarding TRIO services and procedures; Answer basic questions about the TRIO program and eligibility requirements;
  • Receive, sort, and distribute mail, messages, records, office supplies and other materials;
  • Keyboard/type office forms, envelopes, labels, and index tabs;
  • Sort and file documents by predetermined categories; maintain files and records;
  • Photocopy and collate material;
  • Operate a variety of office equipment such as computers and associated software, printers, multi-line phone system, and copy machine;
  • Enter and retrieve data from electronic data processing systems and update information;
  • Maintain calendars and schedule appointments;
  • Create flyers and brochures using Canva or Microsoft Office;
  • Create social media content for TRIO Facebook and Instagram pages;
  • Communicate with others via electronic means (GHC email, Microsoft Teams, and Canvas);
  • Attend training classes, as needed;
  • Regular use of Microsoft Office products, especially Outlook and Word;
  • Monitor common-use room for TRIO students and ensure TRIO students sign in;
  • Maintain a clean and tidy workspace and shared student space;
  • Perform related duties as required;
  • Maintain confidentiality/FERPA.

Minimum Qualifications

  • Soft skills – welcoming and approachable, strong communication, interpersonal skills, organization, adaptability, reliability, discretion and confidentiality
  • Familiarity with Microsoft Office programs and social media platforms
  • High school graduate or equivalent

Preferred Qualifications

  • Previous office work experience
  • Able to work independently
  • Share similar background to the students being served

Eligibility Criteria

  • Enrolled in 6 Credits or More
  • Must be Meeting Standard Academic Progress (SAP)
  • Federal/State Financial Aid processed and awarded in ctcLink
  • Have room in unmet Federal/Cost of Attendance Need money – $2500 Maximum per quarter
